Privacy Policy

This Privacy Policy describes how Studiomate (“Studiomate,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information in connection with the Studiomate website at studiomate.com, the Studiomate web and mobile applications, the Aura AI features, and related services (collectively, the “Service”).

By using the Service, you agree to the practices described in this Privacy Policy. This Privacy Policy is incorporated into our Terms of Service. Capitalized terms not defined here have the meaning given in the Terms of Service.

Quick Summary

We collect account information you provide, work-related Content you upload, payment information you give to our processor, and technical data about your device and use of the Service.

We use this information to operate the Service, match Talent and Clients, train and improve Aura AI, process payments, communicate with you, prevent fraud, and comply with law.

We share information with other Users when you take actions that require it (e.g., applying to a Job, hiring a Talent), with service providers like Stripe, with our auditors and advisors under confidentiality, and where required by law.

We do not sell personal information for money. Some sharing for advertising or analytics may qualify as a "sale" or "sharing" under California, Virginia, Colorado, Connecticut, Texas, or other state laws, and you can opt out.

You have rights to access, correct, delete, port, and (in some cases) object to the processing of your personal information. Section 11 explains how to exercise them.

1. Who This Policy Covers

This Privacy Policy applies to:

Talent — independent professionals who register an Account to find work through the Platform.

Clients — businesses, teams, and individuals who register an Account to post Jobs and engage Talent.

Visitors — anyone who browses the Platform or interacts with our marketing communications without registering an Account.

Aura AI users — anyone who interacts with our AI-powered matching, resume/portfolio analysis, AI Job Finder, or related features.

If you access the Service on behalf of an organization, this Policy describes our practices with respect to your individual personal information; the organization's own information is governed by its agreement with us.

2. Information We Collect

We collect information in three ways: (a) information you give us, (b) information we collect automatically, and (c) information we receive from third parties.

2.1 Information You Provide

Account & profile: name, email address, phone number, password (stored as a salted hash), username, profile photo, professional title, location (city, region, country), time zone, languages, social-login identifiers if you sign in with Google or Apple.

Talent profile: resume, work history, portfolio samples (images, video, audio, code, documents), skills and self-rated proficiencies, certifications, education, hourly Set Rate, project rates, availability, work-authorization preferences (e.g., remote-only, onsite, travel willingness), and any other information you choose to add.

Client profile: company name, industry, team size, billing address, project-history information, role of the person creating the Account.

Job content: descriptions, deliverables, budgets, timelines, required skills, attached briefs, and any communications attached to a Job.

Engagement content: messages exchanged with other Users, files transferred, time entries, milestone submissions, deliverables, reviews, and ratings.

Payment information: for Clients — billing name and address and the last four digits of the payment card, with card numbers and bank-account details collected and stored directly by Stripe, Inc. ("Stripe") and not by Studiomate. For Talent — payout-method details (bank account, debit card, or other supported method) collected directly by Stripe through Stripe Connect, plus tax-identification information (e.g., U.S. SSN/EIN, IRS Form W-9, IRS Form W-8BEN, or non-U.S. tax ID) where required for tax reporting.

Identity verification: government-issued ID, selfie, or business registration documents that you or your verification provider supply to confirm your identity, when verification is required.

Communications: content of emails, support tickets, chat messages, and any other communications you send to us, including any feedback, suggestions, complaints, or survey responses.

Marketing preferences: subscriptions to newsletters, product updates, or transactional notifications, and your opt-in/opt-out choices.

2.2 Information We Collect Automatically

When you interact with the Service we may collect:

Device information — device model, operating system, browser type and version, screen resolution, language, time zone, and unique device or installation identifiers.

Log information — IP address, access times, pages or screens viewed, referring/exit URLs, and crash logs.

Usage information — features used, search queries, filters applied, profiles viewed, Jobs posted or saved, applications submitted, click events, and similar interaction data.

Cookies and similar technologies — see Section 9.

Approximate location — derived from IP address. We do not collect precise GPS location unless you explicitly enable location-based features.

2.3 Information from Third Parties

Single sign-on / OAuth providers (e.g., Google, Apple, Microsoft) — your name, email, and profile photo if you sign in with one of these providers.

Identity-verification providers — verification status and limited identity information.

Payment processor (Stripe) — payment confirmations, payout statuses, dispute notices, and limited risk signals.

Analytics, advertising, and attribution partners — see Section 9.

Public sources — public business directories, professional networks, and similar sources, where we use them to enrich Client or Talent profiles.

Other Users — reviews, ratings, dispute reports, and references.

3. Information We Collect for Aura AI

When you use Aura AI features — talent matching, resume/portfolio analysis, AI Job Finder — we collect and process the inputs you provide and generate the following:

Inputs to Aura AI — text you type into Aura AI surfaces, files (resumes, portfolios, job briefs) you upload to be analyzed, and structured information from your profile or Job that we pass to a model on your behalf.

Derived attributes — fields extracted by Aura AI from your inputs (e.g., role title, years of experience, skill list, location preferences) and similarity / ranking scores between Talent and Jobs.

Aura AI outputs — match suggestions, summaries, recommended Talent, recommended Jobs, and confidence scores.

Feedback signals — your interactions with Aura AI outputs (clicks, saves, hires, rejections, thumbs-up/down, edits) and any feedback you provide.

We do not use the contents of your private one-to-one direct messages with another User to train generally-available models without your consent or de-identification (see Section 4.5).

We use third-party large-language and machine-learning model providers to power some Aura AI features. When we do, we send only the data needed to perform the requested operation, and we contractually require those providers not to retain or use your data to train their general-purpose models. The set of providers we use may change; current providers are listed in our subprocessor list, available on request at privacy@studiomate.com.

4. How We Use Information

We use the information described above for the following purposes.

4.1 To Operate the Service

Create and maintain Accounts; authenticate you; recover access.

Display Talent profiles in search and to Clients you engage with; display Client Jobs to Talent.

Facilitate communications, applications, hires, time tracking, deliverable submission, and reviews.

Process payments, payouts, refunds, chargebacks, and tax forms (with Stripe).

Provide customer support and respond to your inquiries.

4.2 To Provide and Improve Aura AI

Generate matches between Talent and Jobs.

Parse resumes, portfolios, and Job briefs.

Surface recommended Jobs in AI Job Finder.

Evaluate the quality of matches and recommendations.

Train, fine-tune, evaluate, and improve our matching, ranking, and content-extraction models, using identifiable personal information only where lawful and where you have not opted out (see Section 11), and otherwise using de-identified or aggregated data.

4.3 To Communicate With You

Send transactional emails (e.g., account changes, security alerts, payment receipts, dispute notices).

Send service announcements (e.g., changes to these Terms or Privacy Policy, scheduled maintenance).

Send marketing emails about features, content, and offers, where you have not opted out. You can opt out of marketing emails at any time using the unsubscribe link in those emails or by emailing privacy@studiomate.com.

Conduct surveys, research, and customer-satisfaction outreach.

4.4 For Trust, Safety, and Compliance

Verify identity, detect and prevent fraud, abuse, security incidents, and violations of our Terms.

Enforce our Terms, including the Off-Platform Conversion Fee in Section 8.6 of the Terms.

Investigate and respond to law-enforcement and regulatory requests.

Comply with legal obligations (including tax, anti-money-laundering, and Know-Your-Customer requirements run through Stripe).

Establish, exercise, or defend legal claims.

4.5 To Develop the Business

Understand usage and trends; perform analytics; measure marketing performance.

Develop new features, products, and services.

Carry out due diligence and corporate transactions (e.g., financings, acquisitions). In a corporate transaction we will continue to honor the commitments in this Privacy Policy or notify you of any change.

4.6 With Your Consent

We may use information for any other purpose disclosed to you at the time of collection or with your consent.

5. Legal Bases for Processing (EEA, UK, Switzerland)

If you are located in the European Economic Area, the United Kingdom, or Switzerland, we process your personal information under one or more of the following legal bases:

Contract — to provide the Service that you have requested or to take steps at your request to enter into a contract.

Legitimate interests — to operate, secure, and improve the Service; to detect fraud and abuse; to develop products; to communicate with you about the Service; subject to your interests and fundamental rights.

Consent — for marketing communications where required, for placing non-essential cookies, and for processing special-category data (e.g., information about disability or trade-union membership) where you choose to share it.

Legal obligation — to comply with tax, accounting, anti-fraud, and similar laws.

Vital interests / public interest — in rare cases involving safety or substantial public interest.

You may withdraw consent at any time without affecting the lawfulness of prior processing.

6. How We Share Information

We share personal information in the following circumstances.

6.1 With Other Users

A Talent's profile, portfolio, public reviews, and aggregated activity are visible to Clients and (depending on your visibility settings) to other Users and Visitors.

A Client's company information, public Job posts, and public reviews are visible to Talent and other Users.

Information you submit to a Job application or Engagement (cover note, attachments, time entries, deliverables, messages) is visible to the counter-party of that Engagement.

Reviews and ratings you post about another User are visible to other Users.

6.2 With Service Providers

We share personal information with vendors that perform services on our behalf, under written contracts that restrict their use of the information to providing services to us. These include:

Stripe, Inc. — payments, payouts, KYC, fraud screening, and tax-form generation.

Cloud hosting and infrastructure providers (e.g., Supabase / PostgreSQL hosting, content-delivery networks).

Email and messaging providers (e.g., transactional and marketing email).

Analytics, error monitoring, and logging providers.

Customer support tools and live-chat providers.

Identity-verification providers.

AI model providers that power Aura AI (under contractual restrictions, including no-train commitments where available).

Marketing, advertising, and attribution partners.

Legal, accounting, and other professional advisors under duties of confidentiality.

6.3 With Other Parties at Your Direction

When you choose to integrate or share with another service (e.g., social-login, calendar integrations, sharing a profile link), we share information at your direction.

6.4 For Legal Reasons

We may share information when we believe in good faith that it is necessary to: (a) comply with applicable law, regulation, legal process, or governmental request; (b) enforce our Terms, including investigation of potential violations; (c) detect, prevent, or otherwise address fraud, security, or technical issues; (d) protect against harm to the rights, property, or safety of Studiomate, our Users, or the public.

6.5 In Corporate Transactions

In connection with a merger, acquisition, financing, sale of assets, reorganization, bankruptcy, or similar transaction, personal information may be transferred to the counterparty or successor entity. We will provide notice and a chance to object where required by law.

6.6 With Your Consent

We will share information for other purposes with your consent.

6.7 Aggregated and De-Identified Information

We may share aggregated or de-identified information that cannot reasonably be used to identify you (e.g., industry trend reports, marketplace statistics) without restriction.

7. International Data Transfers

We are based in the United States and our service providers operate in multiple countries. When we transfer personal information out of the EEA, UK, or Switzerland to a country that has not received an adequacy decision, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, the EU–U.S. Data Privacy Framework (where applicable), or other valid transfer mechanisms. You may request a copy of the relevant safeguards by emailing privacy@studiomate.com.

8. Data Retention

We retain personal information for as long as needed to provide the Service and to fulfill the purposes described in this Privacy Policy, including to:

maintain your Account while it is open;

provide ongoing access to Engagement records, time entries, invoices, and reviews;

comply with tax, accounting, and other legal obligations (typically up to seven (7) years after the end of the relevant tax period);

resolve disputes, prevent fraud, and enforce our Terms;

maintain records of model-training datasets where required to demonstrate compliance.

When we no longer need personal information, we delete it, anonymize it, or de-identify it. Backups containing personal information are retained for up to ninety (90) days after deletion from production systems and then overwritten in the ordinary course.

9. Cookies and Similar Technologies

We use cookies, pixels, local storage, software development kits, and similar technologies (collectively, "Cookies") to operate the Service and to gather analytics and advertising data. Cookies fall into the following categories:

Strictly necessary — required to provide the Service (e.g., authentication, load balancing, security). These cannot be disabled.

Functional — remember preferences (e.g., language, saved searches).

Analytics — measure how Users interact with the Service so we can improve it.

Marketing / advertising — measure the performance of our marketing and (where you consent) deliver tailored ads off-Platform.

You can manage your Cookie preferences using the Cookie banner displayed on first visit, through the "Cookie Settings" link in the footer, or through your browser settings. We honor the Global Privacy Control ("GPC") signal as a request to opt out of "sale" / "sharing" of personal information for cross-context behavioral advertising under U.S. state privacy laws.

We do not knowingly use Cookies for purposes that would qualify as "selling" your personal information for monetary consideration. Some sharing with advertising or analytics partners may qualify as a "sale" or "share" under California, Virginia, Colorado, Connecticut, or other state privacy laws; you may opt out as described in Section 11.

10. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, alteration, disclosure, or destruction. These safeguards include encryption in transit (TLS) and at rest, access controls and least-privilege permissions, logging and monitoring, employee training, and vendor reviews. No method of transmission or storage is one hundred percent secure, and we cannot guarantee absolute security. If we become aware of a security incident affecting your personal information, we will notify you and the appropriate regulators where required by law.

11. Your Privacy Rights

Depending on where you live, you may have the rights described below. We do not discriminate against you for exercising these rights.

11.1 Rights of Residents of California (CCPA / CPRA)

Subject to verification, you may request to:

Know / Access — confirmation of whether we process your personal information, the categories collected and shared, the categories of sources, the business purposes, the categories of third parties, and the specific pieces of personal information we have collected about you.

Correct — inaccurate personal information.

Delete — personal information we have collected, subject to legal exceptions (e.g., to complete a transaction, to comply with law, to detect fraud).

Opt out of "Sale" or "Sharing" — you can opt out of the sharing of personal information for cross-context behavioral advertising; we honor GPC.

Limit Use of Sensitive Personal Information — to the extent we use such information beyond what is permitted without consent.

Non-discrimination — we will not discriminate against you for exercising your rights.

You may submit a request by emailing privacy@studiomate.com or through the privacy controls in your Account settings. You may use an authorized agent to submit a request on your behalf; we will require evidence of authority. We will respond within forty-five (45) days, with one (1) extension of up to forty-five (45) days where reasonably necessary.

Categories of personal information collected, sold, or shared in the prior twelve months: identifiers, customer records, commercial information, internet activity, geolocation (approximate), professional or employment information, education information, audio/visual content (in profile uploads), and inferences. We do not sell personal information for money. We may "share" identifiers and internet-activity information with advertising partners for cross-context behavioral advertising; you may opt out.

11.2 Rights of Residents of Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, and Other States

You may have the right to: confirm processing; access; correct; delete; obtain a copy of personal data in a portable format; opt out of targeted advertising, sale of personal data, and certain profiling that produces legal or similarly significant effects. Submit requests to privacy@studiomate.com. We will respond within forty-five (45) days, extendable as permitted by law. You may appeal a denial by replying to our response email; we will respond to appeals within sixty (60) days.

11.3 Rights of Residents of the EEA, UK, and Switzerland (GDPR / UK GDPR)

You have the right to: access; rectification; erasure ("right to be forgotten"); restriction of processing; data portability; objection to processing based on legitimate interests; withdrawal of consent; and lodging a complaint with your local supervisory authority. To exercise these rights, email privacy@studiomate.com.

11.4 Rights Concerning Aura AI and Automated Decision-Making

To the extent any feature involves solely automated decision-making with legal or similarly significant effects on you, you have the right not to be subject to such a decision and to request human review. We design our hiring-related Aura AI features to assist, not replace, human decision-makers, and we contractually require Clients using Aura AI to provide human review before any consequential employment decision. If you believe an Aura AI output has affected you and want a human review, contact privacy@studiomate.com.

You can also opt your identifiable personal data out of being used to train our Aura AI models (we will continue to use de-identified or aggregated data) by visiting the "AI Preferences" page in your Account settings or emailing privacy@studiomate.com.

11.5 Verifying and Responding to Requests

To protect your information, we may verify your identity before responding to a privacy-rights request. The level of verification will be proportionate to the sensitivity of the data involved.

12. Children's Privacy

The Service is not intended for, and we do not knowingly collect personal information from, children under the age of eighteen (18). If you believe a child has provided us personal information, please contact privacy@studiomate.com and we will delete it.

13. Do Not Track

Our Service does not currently respond to Do Not Track ("DNT") browser signals. We honor the Global Privacy Control signal as described in Section 9.

14. California "Shine the Light"

California Civil Code § 1798.83 permits California residents to request information about the disclosure of personal information to third parties for the third parties' direct-marketing purposes. We do not disclose personal information to third parties for their own direct marketing.

15. Health, Financial, and Other Sensitive Information

We do not request and do not need health, biometric, genetic, or precise-geolocation information to provide the Service. Please do not include such information in your profile, portfolio, or messages. Card numbers and bank-account numbers are collected by Stripe and not by us. Government-issued ID information collected for verification is processed by our verification provider on our behalf and retained only as long as necessary to satisfy the verification or applicable legal requirement.

16. Service Providers and Subprocessors

We maintain a current list of subprocessors that process personal information on our behalf. You can request the current list by emailing privacy@studiomate.com. We will provide reasonable notice of material changes to our subprocessor list before the change takes effect.

17. Third-Party Services and Links

The Service may contain links to or integrate with third-party services. This Privacy Policy does not apply to those third parties; you should review their own privacy policies before using them.

18. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make a material change, we will provide reasonable advance notice (e.g., by email, by a banner on the Platform, or through your Account dashboard). The "Last Updated" date at the top reflects the most recent revision. Your continued use of the Service after the effective date of an update constitutes your acceptance of the updated Policy.
